While it is our goal to help you maximize revenue by reducing no-show rate, the main purpose is to ensure that your patients are well taken care of. In turn, your practice will grow and more patients can benefit from it. Therefore, automated calls should be used wisely to engage proper communication with your patients. Communicate as much as possible but not overdo it.
Our service is achieved by series of computer programs automatically reading your appointment database, making phone calls or sending text messages for patients to confirm their appointments, according to your preference. After waiting some time for patients to respond, a report is sent to your office via email with the call/text outcome.
This is a fully automated service that runs in the cloud. The software programs have many aspects that are put into consideration so your staff can spend their time more effectively.
After phone calls are made, we may or may not update your schedule, depending on the EHR/EMR, when patients confirm or need to reschedule. A report is sent to your staff to follow up accordingly. For those who could not be reached, because the line was busy or there was not answer, our system tries a couple more times. If they still cannot be reached, it is noted in the report email and then it is up to you to decide what to do.
It is supposed to be a supplement and not replacement to your office staff. In general, people don't like marketing RoboCalls and many of us simply do not respond to automated calls. Human beings react much better to actual person calling rather than machines, because a real person can accommodate patient needs in a much more attentive way.
Keep in mind that this service is not a guarantee to reduce the no-show rate, unless it is handled properly. There are many factors to consider in terms of how and when phone calls are delivered as well as how follow-ups are handled.
It is not a tool to reduce your staff workload by 100%. It does, however, reduce it tremendously, in an efficient way. Your staff may still need to do follow up calls when they receive the report outlining the response of each patient.
Similarly, it is not a service that 100% of your patients will confirm their appointments. Our historical data shows that somewhere between 20 to 60% of patients will confirm. It depends on your patients and it also depends on how and when the confirmation calls are delivered.

Texting is less intrusive, so more and more people utilize phones with texting capabilities. In general, texting provides highest confirmation rate.
eMail provides more appointment details and is the least intrusive method of contact for appointment reminders. However, the response rate may be low.
